Email inbox monitor setup allows you to automate subscriber management tasks based on incoming emails, such as processing unsubscribe requests or moving subscribers between lists based on specific email content.

An ideal use case for email inbox monitors is if you rely on your subscribers to tell you to remove them from your mailing list by emailing you with keywords like "UNSUBSCRIBE ME" or similar. In this case, you can set up an inbox monitor to parse and process all incoming emails. You can also use it to perform other actions like deleting them off a list or moving them into another list.

Another example is running an e-commerce competition where you ask subscribers to reply with a specific keyword. You can then use that keyword to take specific action against subscribers when they reply. It saves you time and effort without going through 100s of emails.

  1. Go to "Servers" --> "Email Box Monitors" --> "Create new" from the sidebar menu

  2. Fill out the required details and hit "Save changes"

Options

  • Name - A descriptive name for this email box monitor

  • Hostname - The server address for the email account (Required)

  • Username - The login username for the email account (Required)

  • Password - The password for the email account (Required)

  • Email - The email address associated with this monitor

  • Service - The email protocol used (e.g., IMAP) (Required)

  • Port - The connection port for the email service (Required)

  • Protocol - The security protocol used for the connection (e.g., NOTLS) (Required)

  • Validate ssl - Whether to validate the SSL certificate of the email server

  • Search charset - The character encoding used for searching emails (e.g., UTF-8)

  • Disable authenticator - Option to disable certain authentication methods

  • Delete all messages - Whether to remove processed emails from the monitored inbox

  • How to identify subscribers - Method to match incoming emails to subscriber records (Required)- Options: By email address, By subscriber UID, By subscriber UID or email address

Defined conditions

  • Condition - The type of match to look for in the email body (e.g., Contains)

  • Value - The specific text or pattern to match in the email

  • Subscriber action - The action to take when a condition is met- Options: Unsubscribe, Blacklist, Unconfirm, Delete, Move to list, Copy to list, Stop campaign group

  • Email list - The specific list to apply the action to (if applicable)

  • Action - Button to remove this condition (trash can icon)

Notes

  • Multiple conditions can be added and applied in the order they appear.

  • Condition checking stops at the first match.

  • The asterisk (*) can be used as a wildcard to match any text.

  • These conditions are applied to the body of incoming emails.

  • When a condition is met, the specified action is taken for the email address in the message.
