You will typically see the following fields when configuring an SMTP delivery server: If you are trying to connect to one of the "email delivery service providers we support", please search for a guide on connecting to that specific provider in this knowledge base.

General

  • Name: A user-defined label to identify this SMTP server configuration.

  • Hostname: The address of the SMTP server (e.g., smtp.freesmtpservers.com).

  • Username: The account username for authenticating with the SMTP server.

  • Password: The account password for authenticating with the SMTP server.

  • Port: The network port number used to connect to the SMTP server (e.g., 25, 587, 465).

  • Protocol: The communication protocol used (e.g., SMTP, SMTPS, TLS).

  • Timeout: Maximum time (in seconds) to wait for a server response before timing out.

  • From email: The email address that will appear in the"From"field of sent emails.

  • From name: The display name that will appear alongside the"From"email address.

  • Probability: The likelihood (as a percentage) that this SMTP server will be used when sending emails.

  • Second quota / Minute quota / Hourly quota / Daily quota / Monthly quota: Limits on the number of emails that can be sent within each time period.

  • Pause after send: Time delay (in seconds) between sending each email.

  • Bounce server: Server used for handling email bounces. See how to "add a new bounce server".

  • Tracking domain: Domain used for tracking email opens and clicks.

  • Use for: Specifies which types of emails this SMTP server should be used for. Spotzee supports using a given delivery server for only campaigns, transactional emails, email tests, reports, list emails, or invoices. You can also choose a combination of these.

  • Signing enabled: Toggles whether to use email signing (e.g., DKIM) for this SMTP server.

  • Force FROM email / Force FROM name / Force Sender: Options to override the default "From" information.

  • Reply-To email: The email address that will receive replies to sent emails.

  • Force Reply-To: Option to always use the specified Reply-To email.

  • Max. connection messages: Maximum number of emails to send in a single SMTP server connection.

Warm up plans

If you have created and activated an email warm-up plan, you can use this field to type in the name and attach it to this specific delivery server.

Domain policies

Domain policies let you control which email domains your server can send to.

  • If you want to send only to one domain (e.g., yahoo.com): Allow yahoo.com and Deny all others using an asterisk "*" and that should do the trick

  • If you want to send to all domains except one (e.g., yahoo): Deny yahoo

  • To include all subdomains of a domain (e.g., yahoo.com, yahoo.co.uk): Use the main domain name (e.g., "yahoo")

  • The asterisk (*) is a wildcard that matches any domain.

  • Partial wildcards like domain*.com don't work.

Additional headers

You can add extra headers if your delivery server requires them.

  • These headers must be correctly formatted and not on a restricted list (Eg. Return-Path).

  • Use this feature carefully - incorrect headers can cause email delivery to fail.

  • The system allows for dynamic content in headers using special tags: -

[CAMPAIGN_UID]: Unique identifier for the email campaign

[SUBSCRIBER_UID]: Unique identifier for the email recipient

[SUBSCRIBER_EMAIL]: Email address of the recipient

  • These tags will automatically replace the appropriate information when sending the email.

  • This advanced feature should only be used if you understand email headers and their impact on delivery.
